We are currently seeking a talented and self-motivated person to join our Trade Show department under the Performance Racing Industry team as Sales and Marketing Assistant.
Provides administrative assistance and sales support functions for the PRI sales managers and the General Manager/VP.
RESPONSIBILITIES AND AUTHORITY:
Process daily sales representative correspondence
Run advertising and exhibit sales reports, prepare sales/prospect/lead lists
Prepare and send personalized prospecting letters with magazine, media kit and exhibitor information
Enter new prospects into Netforum and maintain existing accounts in Netforum
Maintain Microsoft Outlook accounts for sales representatives
Make phone calls to prospects, securing proper contact information so that sales representatives can make contact with appropriate marketing personnel
Actively search out new prospects on the web and in print advertising
Maintain office equipment (copier, fax, printer) and office supplies
Prepare monthly “ad artwork boards"? for new advertisers, as well as large-scale ad artwork board projects for the PRI Trade Show and the SEMA Show
Cut and prepare new advertisements from magazine tear sheets
Send ad artwork boards with personalized letter to new advertisers
Organize/pack/ship ad artwork boards to trade shows
Prepare monthly editorial lead letters for advertising prospects for sales representatives
Prepare lead lists based on editorial product categories, buyers guide product categories, and business code categories in accordance with editorial features
Send personalized letter and advertising rates to each lead
Input all Web and Print advertising contracts into Ffenix data system
Correspond with advertiser to obtain signed contracts
Maintain contract files and follow up for signatures
Organize/maintain returned/signed contracts
Input monthly ad insertion orders
Print/send monthly ad order acknowledgements to all current advertisers
Email prospecting broadcasts
Special mailing projects
Special request projects from all sales reps/departments as needed
Monitor incoming phone calls as needed to provide back-up coverage to reception
Assists any advertising, exhibiting, or prospective client when sales representatives are unavailable
Media Kit Mailing
Prepare quantities (current and prospective advertisers) and mailing list to send to mail house
Coordinate with Art Department on the mailing date, location, supplies
Prepare cover letter for current advertisers and prospective advertisers
Coordinate Special Annual Events
Create/maintain RSVP lists of guests
Coordinate reservations of restaurants/event centers
Manage shipment of party supplies/promo materials
Order promotional artwork/supplies
Organize additional event personnel when necessary
SEMA Show Booth Coordinator & PRI Show Booth Coordinator
Meets all required deadlines for ordering equipment/materials/etc for PRI Tradeshow booth at the SEMA Show (and at PRI Show)
Coordinate booth staff
Manage shipment of all promo materials/magazines to be displayed in booth
Create itineraries (when needed) as well as distribute exhibitor badges/information to relevant PRI Staff
Serve as pre-show and on-site contact for booth
Exhibitor Thank-You Card Mailing
Prepare quantities and mailing list of current trade show exhibitors for sales representatives
Hand address and hand-stamp each personalized thank you card
Mail personalized cards from sales reps to current exhibitors
When requested by management, perform other assignments and duties as necessary.
SKILLS AND KNOWLEDGE REQUIRED
College Education Preferred
Advanced knowledge of Microsoft Office (Excel, Word, Outlook)
Must possess strong interpersonal, analytical, and problem-solving skills
Must be detail oriented and highly organized
Ability to prioritize projects and multi-task
Minimum two years working in an office environment
